Mainstay are working with a Facilities Management Service Provider who are looking for a Administrator to support two sites in the Dorset area.
This is a perfect role for someone who is either already working in the FM or looking to start within the sector. The ideal candidate will have experience within the same role and be competent with Microsoft excel.
Hours – Monday – Friday 8:00-4:00pm
Role :
- Provide administrative support at two sites reporting into the Built Estate Manager
- Answer telephone calls and deal with messages to make sure calls are filtered to the right person on site
- Support with management minutes and note taking when needed then deliver these across the teams
- Maintain the office filling system both hard and electronic copy files
- Provide reports and data to management as and when required
- Book site access for contractors ensuring the proper process has been followed and organise passes where needed for the site
- Keep the internal Excel spreadsheet up to date with all projects and programme of works, communicating with Project Managers and sub-contractors
- Ensure that all data is kept up to date and safe guarded in accordance with guide lines
- Support the supervisory and management team in investigating and resolving complaints
- Obtain feedback from customers on the completion of work and record this data

Candidate :
- Previous experience within a Admin role is essential and experience with a FM service provider highly desirable
- NVQ Level 2 qualification in Administration or the equivalent within a related discipline
- IT skills and experience with Excel and Word
- Strong communication skills both written and verbal
- Full UK driving license
